The Client Email Notifications tab configures automated emails sent to clients about their samples and reports. A master switch ("Enable email notifications") turns all of the types below on or off together.
Navigation: Settings → Communication & Notifications → Client Email Notifications
Each type can be toggled on or off independently:
| Notification | When it is sent |
|---|---|
| Report ready | When the analysis is approved |
| Amended report | When a corrected version of an already-sent report is issued — see below |
| Payment confirmation | When an analysis's payment status changes to paid |
| Sample received | When a new sample is registered |
| Status update | When an analysis or sample status changes |
| Satisfaction survey | Used by the automatic customer satisfaction survey below |
The Amended report notification has no toggle of its own: it follows the "Report ready" setting. That is deliberate. §7.8.8 requires the laboratory to inform the customer when an issued report is corrected — a customer who received the original must not be able to end up without its correction.
It does have its own preview button, like the rest.
| Field | Description |
|---|---|
| Digest send time | The time of day the daily notification digest is sent |
| Include social links in emails | Shows social media links in the email |
Configures automatic survey creation after report approval:
| Field | Description |
|---|---|
| Enable auto-survey | Enables the cron job that automatically creates surveys |
| Trigger delay after approval (days) | How many days after report approval the survey is sent |
| Maximum approved-report age (days) | Older approved reports no longer get a survey |
| Minimum interval per customer (days) | Minimum time that must pass before another survey is sent to the same customer |
Each notification type has a preview button that opens the email template in a dialog, in the current interface language.
If you have uploaded a logo for reports, the same logo goes into the header of customer emails. When one is present the logo leads and the laboratory's name sits below it in smaller type — so the email reads as the same letterhead as the report, not as a separate message.
The logo is embedded inside the email itself, so it shows even when the customer has remote images turned off.
SMTP must be configured (Email Settings) for notifications to work.
The client must have email notifications enabled and an email address in their contact record to receive notifications.
