This guide describes the step-by-step process for creating, reviewing and approving soil analyses. The workflow follows ISO 17025 requirements for traceability, quality control and result approval.
Before creating a new analysis, make sure the following data exists:
| # | Prerequisite | Why it's needed | Page |
|---|---|---|---|
| 1 | Contacts | Every analysis is linked to the customer who requested the examination. | Contacts |
| 2 | Analysis Types | Determines the type of examination (e.g. Soil, Foliar Diagnosis, Water). | Analysis Types |
| 3 | Crops | The sample's crop is required — used in the report and in evaluation ranges. | Crops |
| 4 | Samples | The sample that will be analysed — registers reception, sampling date and origin before analysis begins. | Samples |
| 5 | Laboratory Methods | Every measurement is performed using a specific method (ISO 17025 §7.2.1) — defines the procedure, instrument calibration and measurement uncertainty. | Lab Methods |
| 6 | Analysis Elements | The chemical elements or parameters to be measured (e.g. pH, N, P, K). | Elements |
| 7 | Evaluation Ranges | Define acceptable limits per element and crop — without these, automatic result evaluation is not possible. | Ranges |
Recommended setup order: Contacts → Crops → Elements → Lab Methods → Evaluation Ranges → Analysis Types → Samples → Analyses
Optional but useful:
Go to the Analyses page from the main menu. A table with existing analyses is displayed.
The table columns are:
| Column | Description |
|---|---|
| Analysis Date | The date the analysis was performed |
| Contact | Customer name |
| Analysis Type | The type of analysis (e.g. Soil, Foliar Diagnosis) |
| Status | Draft, Reviewed, Approved or Amended |
| Payment | Paid or Pending |
Click the "+" button in the toolbar to open the creation form.
Fill in the fields:
After saving, the analysis is created in Draft status and the detail page opens.
On the detail page, enter the measurements for each analysis element:
Measurements can only be edited when the analysis is in Draft or Amended status.
You can also manage:
| Section | Description |
|---|---|
| Observations | Comments and observations per element |
| Recommendations | Fertilization or correction suggestions |
| Charts | Automatic chart generation from results |
The analysis follows a strict workflow with four statuses:
| Status | Description |
|---|---|
| Draft | Initial state — measurements are editable |
| Reviewed | After quality review — measurements locked |
| Approved | After final approval — PDF and email enabled |
| Amended | Returned for corrections — measurements editable again |
| Action | From | To | Note |
|---|---|---|---|
| Review | Draft | Reviewed | Quality reviewer verifies the results |
| Approve | Reviewed | Approved | Approver gives final approval |
| Reject | Reviewed or Approved | Draft | Mandatory rejection reason required |
| Amend | Approved | Amended | Mandatory reason — allows measurement editing again |
When the analysis is Approved, you can:
| Action | Requirements |
|---|---|
| PDF Preview | Approved status |
| PDF Download | Approved status |
| Send Email | Approved + Paid + customer email |
Sending email to the customer requires three conditions: the analysis must be Approved, payment must be Paid, and the customer must have a registered email address.
To mark an analysis as paid, change the payment status from Pending to Paid.
Type in the search field for quick text filtering.
Click the filter icon to open the filter panel:
| Filter | Type | Description |
|---|---|---|
| Date From | Date | Start of date range |
| Date To | Date | End of date range |
| Contact | Select | Filter by customer |
| Analysis Type | Select | Filter by type |
| Status | Select | Filter by workflow status |
| Payment | Select | Filter by payment status |
Can I modify measurements after approval?
Yes, via the Amend action. The analysis moves to Amended status, allowing measurement editing again. A mandatory amendment reason is required for traceability.
Why can't I send an email to the customer?
Check that all three conditions are met: the analysis is Approved, payment is Paid, and the customer has a registered email in their contact details.
What is the difference between Reject and Amend?
Reject returns the analysis to Draft (used during quality review when errors are found). Amend is used after approval to correct measurements, while maintaining a change history.
How does automatic chart generation work?
Charts are generated automatically based on measurements and the elements selected in Settings → Chart Elements. Charts refresh every time measurements change.
