This guide describes the step-by-step process for generating, previewing and sending analysis reports to clients. It covers the full cycle: analysis approval → PDF generation → email delivery → client portal access.
Before generating a report, make sure the following are in place:
| # | Prerequisite | Why it's needed | Page |
|---|---|---|---|
| 1 | Approved analysis | A PDF report can only be generated for analyses in Approved status. | Analyses |
| 2 | Lab info configured | Lab name and address appear on the report header. | Settings |
| 3 | Report settings | Logo and footer configured for the report. | Settings → Report Settings |
Recommended order: Lab Info → Report Settings → Print Templates → Approve Analysis → Generate PDF
The analysis must be in Approved status before a report can be generated. The status workflow is:
| Status | Description |
|---|---|
| Draft | Initial state — measurements are editable |
| Reviewed | After quality review — measurements locked |
| Approved | After final approval — PDF and email enabled |
For details on the status workflow, see the Analysis Workflow.
Once the analysis is Approved, you can generate a PDF report. The report includes:
| Section | Content |
|---|---|
| Header | Lab logo, accreditation information |
| Customer info | Name, address, tax ID |
| Measurements | Results table with evaluation per element |
| Observations | Comments and notes per element |
| Recommendations | Fertilization or correction suggestions |
| Charts | Result charts |
| Footer | Contact details, notes |
There are three output options:
| Action | Description |
|---|---|
| Preview | Open the PDF in a new tab for viewing |
| Download | Download the PDF file to your computer |
| Print directly via the browser print dialog |
The default output action is configured in Report Settings.
To send the report via email, three conditions must be met:
| # | Condition | How to set it |
|---|---|---|
| 1 | Analysis is Approved | Status workflow |
| 2 | Payment is Paid | Change payment status on the analysis |
| 3 | Customer has an email address | Register email in Contact details |
If any of the three conditions is not met, the email option is not available.
After sending, the customer receives an email with the PDF report attached.
Customers can also access their reports via the client portal — a dedicated web page where they can view their approved analyses and download the corresponding PDFs.
The client portal:
The report appearance is controlled by two sections in Settings:
| Setting | Description |
|---|---|
| Logo | Upload lab logo |
| Footer text | Footer text and contact information |
| Custom notes | Custom notes for the report |
| Section order | Order of sections in the PDF |
| Output mode | Preview, download or print |
| Turnaround days | Display turnaround time |
| Uncertainty column | Show/hide measurement uncertainty column |
| Setting | Description |
|---|---|
| Colors | Primary and accent colors |
| Font family | Font family selection |
| Signature | Show/hide signature |
| Print date | Show/hide print date |
| Lab header | Lab header customization |
| CSS overrides | Custom CSS |
| Watermark | Watermark text |
Why can't I email the report to the customer?
Check that all three conditions are met: the analysis is Approved, payment is Paid, and the customer has a registered email in their contact details.
How do I change the logo on the report?
Go to Settings → Report Settings and upload a new logo. The change applies to all subsequent reports.
Can I generate a report for an analysis that is not approved?
No. PDF reports can only be generated for analyses in Approved status. This ensures that only approved results are sent to customers.
How do I change the report colors?
Go to Settings → Print Templates and change the primary and accent colors. Changes are applied immediately to new reports.
Can the customer see the report without email?
Yes, via the client portal. The customer can log in and download their reports at any time, regardless of whether an email was sent.
How do I control whether the uncertainty column is displayed?
Go to Settings → Report Settings and enable or disable the "Uncertainty column" option.
