Scheduling

This guide describes the step-by-step process for creating and tracking scheduled activities — instrument calibrations, proficiency tests, internal audits, training sessions and more. Scheduling integrates with the application calendar.


Prerequisites

Before you begin, make sure the following data exists:

Tip: Define status types in Settings first before creating schedule entries.

Step 1 — Navigation

Go to the Scheduling page from the main menu. A table of existing entries is displayed.

The visible table columns are:

Step 2 — Creating an Entry

Click the "+" button on the toolbar to open the creation form.

Fill in the fields:

  1. Title — Activity description (for example "ICP Calibration — Q2 2026")
  2. Date — Scheduled execution date
  3. Type — Activity category (required)
  4. Frequency — One-time, Weekly, Monthly, Quarterly or Annual
  5. Assigned To — The user responsible for execution
  6. Status — Initially "Pending"
  7. Notes — Additional information or instructions

Step 3 — Setting Frequency

For recurring activities, select the frequency:

Recurring entries automatically create new occurrences in the calendar.

Step 4 — Tracking Completion

As the activity is carried out, update the status (for example "In Progress" → "Completed"). Add notes for findings or observations.


Step 5 — Calendar View

Scheduled activities appear automatically in the application Calendar, alongside other events. Use the calendar for an overview of pending activities.


Step 6 — Search & Filtering

Type in the search field for quick text filtering.

Click the filter icon to open the filter panel:

FAQ

How do recurring activities work?

The application automatically creates new occurrences based on the frequency. Each occurrence is tracked independently with its own status.

Can I link an activity to a calendar event?

Yes, scheduled activities appear automatically in the calendar. No manual linking is required.

What happens if an activity is not completed on time?

The date is highlighted in red in the table. Update the status and add notes about the delay.

Can I change the frequency of an existing entry?

Yes, open the entry in edit mode and change the frequency. The change applies to future occurrences.
