Staff Training Management

This guide describes the step-by-step process for logging and evaluating staff training, per ISO 17025 §6.2.


Prerequisites

Step 1 — Identify Training Need

Identify training needs through:

  • Competency assessments
  • New analysis methods or instruments
  • Internal audit findings
  • Quality system changes

Step 2 — Create a Training Record

Go to the Training Records page from the QC menu and click "+".

Fill in the fields:

  1. Document No. — Leave blank for auto-numbering (format TR-YYYY-NNNN)
  2. Training Date — Date of training
  3. Trainee — The staff member
  4. Provider — The trainer or organisation
  5. Title — Training subject
  6. Type — Internal / External / On-the-job
  7. Duration — Training hours
  8. Notes — Additional remarks

Step 3 — Evaluate Effectiveness

After completion, update the record:

StatusChange from "Planned" to "Completed"

Step 4 — Schedule Next Training

If retraining or certification renewal is required, fill in:

  • Next Training Date — Shown in red if overdue
  • Certificate No. — Certificate number (if applicable)
  • Expiry — Certification expiry date

Step 5 — Search & Print

  • Use the search field for quick text filtering
  • Click the print icon for a PDF list
  • Click the export icon to download a CSV file

FAQ

How does auto-numbering work?

If you leave the "Document No." field blank, the application assigns the next available code (format TR-YYYY-NNNN).

What should I do if the assessment fails?

Per ISO 17025, plan follow-up training, document the findings in the notes and set a new training date.

When is retraining required?

When methods change, new instruments are introduced, or during periodic competency reviews.
